This Privacy Policy explains how Vietnam Airport Assistance (“we”, “us”, “our”) collects, uses, shares and protects your personal data when you visit www.vietnamairportassistance.com, contact us, or book our airport meet & greet and concierge services.
Vietnam Airport Assistance is a private company providing airport meet & greet and concierge services. We are not affiliated with any government agency, immigration authority or airport operator, and we do not issue visas or official documents.

2. Personal data we collect
Information you give us
- Contact details: name, email address, phone or WhatsApp number.
- Travel details: flight number, airline, arrival or departure date and time, airport and terminal, number of passengers, and the name to show on the welcome sign.
- Passenger details: full name as shown in the passport, nationality and passport number, only where needed to arrange the service you booked.
- Special requests: for example wheelchair assistance, travelling with children or elderly passengers, or extra luggage. If you share health or mobility information, we use it only to provide the assistance you asked for.
- Messages: anything you send us by email, WhatsApp, contact form or phone.
Payment information
Card and PayPal payments are processed by our payment providers. We do not store your full card number. We receive only the payment confirmation, amount, date and limited reference details.
Information collected automatically
- IP address, browser and device type, pages visited, time spent on the site, and the website or advertisement that brought you to us.
- This is collected through cookies and similar technologies (see section 7).
3. How we use your data
- To confirm, arrange and deliver your booked service, using your contact, travel and passenger details and any special requests.
- To contact you before and on the day of travel, for example about flight changes or the meeting point, using your contact and travel details.
- To process payments, refunds and invoices, using your contact and payment information.
- To answer questions and handle complaints, using your contact details and messages.
- To keep our website secure and working properly, using technical data.
- To measure and improve our website and advertising, using technical data and cookies, with your consent where required.
- To meet legal, tax and accounting obligations, using booking and payment records.
We process your data because it is necessary to provide the service you requested, because you have given your consent, or because we are required to by law. We do not sell your personal data.
4. Who we share your data with
We share only the data that each party needs:
- Our staff and on-site assistants who meet and escort you at the airport.
- Service partners you book through us, such as airport lounge operators or car transfer drivers, and only the details needed for that service.
- Payment providers such as PayPal and card payment processors.
- Technology providers that host our website or provide email and messaging (for example our hosting company, Google and WhatsApp/Meta).
- Analytics and advertising providers such as Google (Google Analytics, Google Tag Manager and Google Ads) to understand how visitors use our site and to measure our advertising.
- Authorities, only where we are legally required to do so.
5. International transfers
Some of our technology providers (such as Google, Meta and PayPal) may store or process data outside Vietnam. When this happens, we rely on these providers’ own safeguards and comply with the requirements of Vietnamese law on cross-border transfers of personal data.
6. How long we keep your data
- Booking and payment records: kept for as long as required by Vietnamese tax and accounting law.
- Passenger and travel details: kept for up to 12 months after your service date, unless needed longer to resolve a complaint or dispute.
- Enquiries that did not lead to a booking: kept for up to 12 months.
After these periods we delete or anonymise the data.
7. Cookies
We use cookies and similar technologies to:
- make the website and booking form work (essential cookies);
- understand how visitors use the site (analytics cookies);
- measure the results of our online advertising (advertising cookies).
You can block or delete cookies in your browser settings. Blocking essential cookies may stop parts of the booking form from working. To limit Google advertising, you can visit Google Ad Settings (adssettings.google.com).
8. How we protect your data
Our website uses HTTPS encryption. Access to booking information is limited to staff and partners who need it to deliver your service. No method of transmission or storage is completely secure, but we take reasonable steps to protect your data and will act promptly if a security incident occurs.
9. Your rights
Subject to applicable law, including Vietnam’s Law on Personal Data Protection, you may:
- ask what personal data we hold about you and receive a copy;
- ask us to correct inaccurate data;
- ask us to delete your data, or to restrict how we use it;
- withdraw your consent at any time (this does not affect processing already carried out);
- object to the use of your data for marketing;
- make a complaint to us or to the competent authority in Vietnam.
To make a request, email vietnamairportassistance@gmail.com with the subject “Privacy request”. We may ask you to confirm your identity and will respond as soon as possible, within the time required by law.
10. Children
Our services may be booked for travellers of any age, but bookings must be made by an adult. We collect children’s details only when a parent or guardian provides them for a booking.
11. Links to other websites
Our website may link to other websites, including partner services. We are not responsible for the privacy practices of those websites, so please read their privacy policies.
12. Changes to this policy
We may update this Privacy Policy from time to time. The latest version will always be on this page, with the “Last updated” date shown at the top.
